Job analysis is the process of gathering, examining, and interpreting data about the job’s tasks and responsibilities. According to the Society for Human Resource Management (2012), the following steps help provide the best analysis of a particular job:

  1. Involve employees by having them complete job analysis forms.
  2. Interview employees, asking them specific questions about their job duties and responsibilities.
  3. Obtain log sheets from employees with information about each of their tasks and the time spent on each task for at least one full work week.
  4. Complete desk audits where you observe employees doing their jobs at different times of the day and days of the week and track what they do and for how long.
  5. Interview supervisors and managers, and other employees, clients and customers the employee may interact with while performing the job.
  6. Compare the job to other jobs in the department as well as the job grade or job family to show where it falls on the pay scale.

Job analysis provides precise information about the job required and it involves gathering, examining and interpreting the data related to the job responsibilities and tasks. It provides a clear description of the tasks that includes employee’s duties and the required duration to accomplish every task (SHRM, 2012). Besides providing these details, it considers the employee is performing their job, how to interview the employees or manager and interaction with the employees. It also includes the comparison between the job with the jobs in the same department. Job analysis provides information about the complete evaluation of the job, and that does not provide information about the person. It will provide a thorough analysis of the essentials of the job that will provide detailed information about the responsibilities and the duties of the employees.
It includes the information about the percentage of hours spent on every task, importance of the job when compared to the other and the required skills and knowledge for exercising the tasks. It deliberately indicates the conditions under how the work is being completed. Role of human resource department is considerably higher informing the job analysis for every job roles and responsibilities. The human resource department is responsible for recruiting the suitable talent for the company who can meet the requirement of the job (Smith, 2015). Without job analysis, it is not feasible for the human resource department to recruit the suitable talent.
